Construction Administrator Needed

Overview:  The Construction Administrator is the administrative support for all construction projects.  This position requires conduct in keeping with the Snavely Group’s culture of Quality, Commitment, and Integrity.  The responsibilities and requirements of a Construction
Administrator include the following:

  • Satisfy needs, wants, and desires of the Owner/Client within the context of our relationship.
  • Improvise, overcome, and adapt to solve problems quickly
  • Annual Responsibilities:
  1. File annual periodic reports
  2. Update contractor registrations
  3. Renew company vehicle tags, register new vehicles
  4. Distribute insurance cards to company driver
  • Monthly Responsibilities
  1. Register SBC in new municipalities for new projects
  2. Archive projects to the warehouse, maintain filing structures
  3. Generate new AIA contracts or modify word document owner contracts
  • Weekly Responsibilities:
  1. Request COIs from Althans, distribute as needed 
  2. Create filing systems (both electronic and hard copy) for all projects
  3. At project completion, assist Project Engineer with gathering of closeout documents, including warranties, owner’s manuals, as built drawings, contact lists, etc.
  4. At project completion, assist Project Engineer with creating closeout manuals, CDs and binders 
  5. Create binders, PM and Superintendent books 
  6. Maintain project contact lists
  7. Send out responses for requests for the Notice of Commencement 
  8. Track filed Notices of Furnishing 
  9. Maintain Notevault and code the credit card expense monthly, set up new users and accounts, archive as needed
  • Daily Responsibilities:
  1. Maintain and update office and jobsite technology (printers, faxes, plotter, phone system, faxes) 
  2. Book, generate and issue subcontracts, purchase orders and accounting packages 
  3. Review returned subcontracts and purchase orders for completeness, ensure PMs sign off on returned contracts, ensure Pete signs returned contracts 
  4. Mail fully executed subcontracts and purchase orders back to subcontractor/vendor 
  5. Scan in fully executed documents
  6. File and archive as necessary executed documents 
  7. Follow up and request missing executed documents 
  8. Assist with setting up project estimates and budgets 
  9. Update drawings indexes 
  10. Generate and maintain project directories 
  11. Fill out paperwork, request checks and pull permits 
  12. Take meeting minutes, distribute accordingly 
  13. Training and orientation for new staff
  14. Front Desk Responsibilities

i.    Greet and announce visitors
ii.    Sign for packages 
iii.    Sort mail
iv.    Answer all mainline calls

  • As one of many faces of the company, salesperson/recruiter to bring in work and talent based on everyday professional and social interactions.
  • Skills & Experience Requirements
  1. Effective written and verbal English language communication skills
  2. Ability to use independent judgement; self-starting
  3. Computer skills: Timberline, Word, Excel, Outlook, Project, Adobe Acrobat, Powerpoint, Publisher
